E-paper visitor badges for open days and networking
Visitor days and open networking sessions need guests labelled clearly —
without a print desk. Ink Badge Hire supplies pre-programmed e-ink badges with
a MEMBER or VISITOR bar, names on a 250×122 face, and a
QR on the right. Hire for your dates; we ship ready; you return after.
Visitor days and open networking
Conference organisers, trade associations, and networking groups often run sessions where hosts welcome
guests. Printed stickers and handwritten inserts slow registration and end up in the bin.
Programmable e-ink badges give every attendee a consistent face: name, firm, role line, and a
clear member/visitor distinction.
You collect names before the event (or from a walk-in list), we load faces onto badges, and
courier them ahead of your session. At the door you hand out hardware — not a stack of
misprints.
MEMBER vs VISITOR bar
Each Ink Badge Hire badge includes a footer bar showing MEMBER or
VISITOR. That is part of the hardware layout, not a sticker you add on the day.
Hosts and greeters can scan the room and see who is a guest without asking.
- MEMBER — Regular attendees, committee, speakers from the host organisation.
- VISITOR — Guests, prospects, and first-time attendees you want to welcome.
Set the label per row in your spreadsheet import or in the designer
before you order.
QR on the face
The right-hand side of the badge face carries a QR code. Link it to a LinkedIn
profile, booking page, feedback form, or vCard. Visitors tap to connect after the session —
the badge does the introduction work while they are in the room.
How hire works
- Choose quantity and event dates at hire pricing or checkout.
- Upload or design faces — include MEMBER/VISITOR and QR URLs per person.
- We programme and ship before your visitor day (recorded delivery).
- Issue badges at registration; collect them at the end or ask guests to leave them on tables.
- Return the fleet with the included label within the return window.

When buying makes sense
If your group runs a visitor morning every week or month, owning a fleet can cost less over a
year than repeated hire. Purchase includes the hardware and a welcome year on the platform so
you update faces from your account. Compare buy pricing if you
expect regular use.
Office reception systems (such as Joan ePaper badges with a visitor-management subscription) are
a different product — see
Joan ePaper badge for events for how event hire
compares.
Frequently asked questions
What is a visitor day badge?
A visitor day badge identifies guests at an open networking session, trade show, or exhibition where members and visitors mingle. Ink Badge Hire badges show a MEMBER or VISITOR bar on the face so hosts can spot guests at a glance.
Can badges show MEMBER and VISITOR on the same hardware?
Yes. Each badge is programmed with either MEMBER or VISITOR in the footer bar before dispatch. You assign the label per person in your list or designer export.
Is there a QR code on the badge face?
Yes. A QR code sits on the right of the 250×122 face. Members and visitors can link it to a profile, vCard, or booking page — useful for follow-up after the morning.
Do I need to programme badges on the day?
No. We ship badges with faces already loaded. Issue them at registration like a lanyard badge — without a print queue.
Hire or buy for a monthly networking group?
Monthly groups that always need the same fleet often buy. Occasional visitor days or annual conferences often hire. Compare hire pricing and buy pricing for your dates and quantity.
