E-ink badges vs printed paper badges
Printed tents work until the visitor list changes, the role on the agenda moves, or the printer sits in the foyer while people wait. E-ink badge hire programmes 250×122 e-paper faces in Cleckheaton and ships ready — hire for your dates or buy to keep.
| Printed paper badges | Ink Badge Hire (e-ink) | |

| Change a name or role mid-event | Reprint or handwritten fix | Update the face in the designer during the hire window |
| Cost — 10 badges, 2 days (example) | Print run + reprints when the list shifts | £140 hire including out-and-back postage (Sep 2026 pricing) |
| Waste after the event | Inserts, wallets, and misprints in the bin | Hire kit returns on a prepaid label for the next event |
| On-site equipment | Printer, cables, and spare stock | No printer — USB-C charge before the room if needed |
| Networking QR on the face | Only if your print template includes it | Designed on site — visitor magic links supported |
| Best when | Huge one-off disposable branding with print staff on site | Chapter mornings, conferences, and visitor days in the UK |
When printed badges still make sense
A staffed print desk can suit very large one-off conferences where every insert is disposable and you already budget for onsite registration labour. If that is your model, paper may stay cheaper on the day — especially when badge art is single-use marketing collateral.
E-ink hire wins when the same chapter or team meets regularly, names change late, or you want people walking in wearing the day instead of queuing. The hardware returns on a prepaid label; the next meeting gets fresh faces without a new print run.
Sustainability without the brochure
Hire reuses the same bezels. Paper inserts, plastic wallets, and misprinted stock drop out of the workflow when faces refresh digitally. That is the practical difference — not a certificate on the wall.
What you ship vs what we ship
With paper, you ship printer stock, templates, and hope the registration export matches the room. With E-ink badge hire, you ship us a list — or design in the visual designer — and we send charged badges with MEMBER, VISITOR, or SPEAKER bars, chapter marks, and QR on the right as you designed them.
BNI is a featured use because we wear the kit in a UK chapter; it is not an official BNI International partnership. Conferences and visitor days use the same three inks: brick red, black, and e-paper white.
FAQ
E-ink vs printed — common questions
When are printed paper badges still the better choice?
Very large one-off events with disposable branding, or when you already own a onsite print desk and staff. E-ink wins when names change, roles swap, or you hire the same kit monthly.
What does hire cost compared with printing fifty badges?
Fifty badges for one day is £320 hire plus £20 postage under our formula — and the kit comes back for the next meeting. Printing fifty plus reprints for changes is often higher once waste is counted.
Are e-ink badges reusable?
Yes. Hire kits return and go out again with new faces programmed. Bought devices stay with you and refresh from your account.
Do I need a printer or registration desk on site?
No printer queue. Names are on the face before people walk in. Visitors can still set QR actions from a magic link if you import a list ahead of time.
Can I change a name without reprinting?
Yes — update the face in the designer during the hire window. Paper tents need a reprint or handwritten fix.
What about sustainability?
Hire returns the same hardware for the next event. Paper inserts, plastic wallets, and misprinted stock are avoided when faces refresh digitally.
